How much does an AI meeting notetaker cost in 2026: six per-seat prices and one per-company price
By Tudor Bungardean. Published 12 October 2026. Every outside fact read on 12 October 2026.
An AI meeting notetaker costs between $0 and $59 a user a month in 2026: every major one has a free plan with a limit, and the paid plans run from $8.33 a user a month on Otter billed annually to $59 a user on tl;dv Business, as read on the vendors’ own pages on 12 October 2026. The price that matters for a company is the one per person multiplied by the people on the calls, because a notetaker is only useful when everyone who meets customers has it. This page lists the six most compared tools with their free limits and their per-seat prices, then the one price that works the other way round: per company, with the calls joining the company’s memory.
Six AI meeting notetakers, prices and free limits
| Tool | Free plan | Paid plans | What the free limit is |
|---|---|---|---|
| Fathom | Free forever: unlimited recordings and transcriptions, instant AI summaries | Premium $16 ($20 monthly); Team $15 ($19 monthly, two users minimum); Business $25 ($34 monthly) | Advanced summaries on the first five calls a month; after that the general template |
| Fireflies | Free: unlimited transcription and AI summaries | Pro $10 ($18 monthly); Business $19 ($29 monthly); Enterprise $39, annual only | 400 minutes of storage for the whole team; recordings up to two hours |
| Otter | Basic: 300 transcription minutes a month | Pro $8.33 ($16.99 monthly); Business $19.99 ($30 monthly) | 30 minutes a conversation, three file imports in total, 20 AI chat queries a month |
| Granola | Basic: notes with no bot, 30 days of history | Business $14; Enterprise $35 (monthly prices shown) | Meeting history kept for 30 days |
| tl;dv | Free: unlimited recordings and transcripts, AI moment summaries | Pro $18; Business $59 (as its own blog states them on 10 July 2026) | Its pricing page did not load on the day we read, so the figures are from its blog |
| Read AI | Free: five meetings a month | Pro $15 ($19.75 monthly); Enterprise $22.50 ($29.75 monthly, five licences minimum); Enterprise+ $29.75 ($39.75 monthly) | Five transcripts a month |
The free plans are real but shaped to end. Fathom gives the recording away and meters the clever summaries; Fireflies gives the summaries away and meters storage, so a team of three fills 400 minutes in a fortnight of hour-long calls; Otter meters the minutes themselves; Read AI stops at five meetings. Granola is the odd one: there is no bot in the call, the app listens on your own machine, so the free plan is about how long the notes are kept rather than how many calls you have.
What a notetaker costs a company, per seat
Per-seat pricing is sized for one person who has a lot of meetings. A company is several people who each have a few, and the notes are only worth having when every customer call is in the same place. At the published annual prices, four people who meet customers cost $40 a month on Fireflies Pro, $60 on Fathom Team, $56 on Granola Business and $80 on Otter Business, before anyone on the team has a second tool for what the notes are missing: who the customer is, what they were promised, and what they owe.
| Tool and plan | Per user a month | Four people a month | A year |
|---|---|---|---|
| Fireflies Pro | $10 | $40 | $480 |
| Fathom Team | $15 | $60 | $720 |
| Read AI Pro | $15 | $60 | $720 |
| Granola Business | $14 | $56 | $672 |
| Otter Business | $19.99 | $80 | $960 |
| tl;dv Pro | $18 | $72 | $864 |
The other way to price it: per company, into the company’s memory
Castan is an AI that builds and runs a company with its owner, who owns everything it makes, and the meeting assistant is one part of it rather than the product. The price is per workspace, whoever is in it: the free plan captures one hour of calls a month, Founding is $29 a month with five hours, Starter $99 with ten, Growth $299 with forty and Scale $599 with a hundred, and a paid plan can add a pack of ten hours for $39 that never expires. The bot joins Google Meet, Zoom and Microsoft Teams, the recap goes to every person on the call with a share page, and the record of the call enters the company’s memory, so a question like “what did we promise them on the last call” is answered with the citation. From the Founding plan up, the language of a call is detected rather than chosen.
The comparison is about the shape of the bill. A notetaker is $10 to $59 for each person who meets customers, and a second product for the follow-through. A company price is one number for everyone, and the follow-through is the point: the promises made on the call become commitments Castan tracks, the invoice mentioned on it is the one it chases, and the next call starts with a brief written from the last one.
